Job Title: Top Level Assistant


This position requires an individual who can operate independently and anticipate needs in a fast paced environment. This individual will own the day to day operations of the office. This includes interactions with the CTO and his direct reports, other top Company Management, as well as external partners.  This position requires an individual who exhibits a high level of maturity and can prioritize the workload. Responsibilities include coordination of and participation in external customer and partner interactions, internal project management, and driving efficiency and standardization across the organization.

Essentials Functions:

  • Excellent Administrative Skills – Office and calendar management; domestic and international travel arrangements, organizational and superior interpersonal skills. Time management skills, prioritization, and ability to flow to the work
  • Agility and flexibility to manage multiple priorities and responsibilities including customer and partner interactions, projects in the R&D organization, as well as other areas of the business.
  • Strong technical skills on P&G administrative systems, excellence in Outlook, Word, Powerpoint, Excel, and SharePoint; familiarity with Mac software is a plus.
  • Ability to think and act decisively. Strong prioritizing skills, work independently, broad knowledge of policies and procedures. Ability to manage multiple priorities and responsibilities accurately and without supervision.
  • Leadership/Professionalism – demonstrate personal leadership on an on-going basis; understand the role as a liaison between manager and the organization as well as external business partners. Represent the office in a partnership with the manager, at times speaking on behalf of the CTO and the R&D organization
  • Communication and Collaboration -- Ability to build networks at all levels for effective collaboration, both internally and externally. Work well with all functions/levels of organization and outside business partners. Excellent verbal and written communication skills.
  • Proven Company experience preferably at the Executive level and must exhibit the highest level of confidentiality and maturity, given the exposure to confidential data. Must be highly dedicated and motivated in addition to having the agility needed to adjust to various schedules and situations.

  • 5+ years’ experience in executive assistant/administrative asst role
  • Familiarity with Microsoft Office; Word, Excel, PowerPoint
